Instructions for Registering P4 Workstations in Socreg

Requirement:

P4 workstations need to be registered as Protected Data Applications in Socreg. This applies to:

  • Workstations that store P4 Institutional Information.
  • Workstations that are used to connect to P4 systems or services IF the user's credentials provide access to P4 Institutional Information in that system/service.
  • Workstations that are used to administer P4 systems or services.

Process:

To register a large number of P4 workstations, please contact socreg@berkeley.edu for assistance. Otherwise, select one of the following options.

Option 1 - Add a P4 workstation to an existing P4 Protected Data Application

Steps:

  1. Log into Socreg and select the "PD Applications" tab on the left side of the page
  2. Select the name of a P4 PD Application to which you want to add the workstation
    1. First confirm that the Security Contact is associated with the correct department for the workstation. If not, select a different P4 PD Application.
  3. Look at the "Quantity Level" in the application information box. If the workstations that are being added will impact the number of stored or accessed records, edit and update the information. Quantity ranges are: < 500, 500 - 5000, and > 5000.
  4. Next, select the "Devices" tab near the top of the page
  5. Select the "Add Device" button and enter the requested information:
    1. MAC address: Enter the MAC address associated with your primary network connection (wired or Wi-Fi)
    2. Scope: Select "Privileged Access Device - IT Admin or P4 Workstation"
    3. Calnet ID: Enter the CalNet ID of the primary user of the workstation
  6. Select "Submit"

Option 2 - Create a new P4 Protected Data Application

Steps:

  1. Log into Socreg and select the "PD Applications" tab on the left side of the page
  2. Select the "New Application" button near the top of the page
  3. Enter the requested information, including the Security Contact for the department with which the workstations are associated, and select "Submit"
    1. To look up the Security Contacts available to you, select the "Security Contacts" tab on the left side of the page.
    2. For "Quantity Level," select the range for the total number of P4 records that all P4 workstations you'll be registering contain or access.
  4. Select the name of the newly created PD Application
  5. Follow steps 4-6 in Option 1 above
